The Parish Administrator is a part-time (20 hours/week) position that serves the mission of St. Andrew’s By-the-Sea by ensuring the administrative and operational systems of the parish are updated, clear, accurate, and reliable.
Reporting directly to the Rector, this position helps the parish live into its vision of being a thriving, welcoming community by:

Understands administration as a form of hospitality and pastoral care
Key Responsibilities & Duties
Calendar & Meeting Management: Maintains the master parish calendar. Schedules meetings, manages complex, shifting calendars, and arranges events on behalf of the clergy, staff and ministry leaders.
Communication & Liaison: Screens calls, manages emails, and acts as a liaison between the Rector, staff, and parishioners.
Systems and Records: Maintains the parish database (ACS/Realm), including membership records, attendance, and volunteer rosters. Supports sacramental record keeping and diocesan reporting, as needed. Maintain and organize electronic and physical filing systems for documents, reports, and other materials.
Documentation and Reporting: Prepares and organizes reports and materials for meetings, including agendas and presentations. Implements updates to the parish website and e-blast in coordination with the Rector and Communications Coordinator.
Support: Assists the Rector and staff with daily tasks, as requested and as assigned. Coordinates office volunteers and activities.
Required Skills and Qualifications
Organization and Time Management: High attention to detail, ability to handle multiple projects with consistent follow-through, and strong organizational skills. Ability to prioritize tasks and meet deadlines.
Technology: Proficient in Microsoft Office (Word, Excel), Google Office, database management, and virtual meeting tools. Experience with parish database (ACS/Realm) and Audio-Visual equipment not required, but preferred.
Communication: Excellent written and verbal communication skills.
Collaboration: Ability to seamlessly work with clergy, staff, lay leaders, and parishioners.
Confidentiality: Ability to maintain confidentiality and exercise discretion in handling sensitive information.
